FleetCollect has released a new digital feature designed to help owner-operators and small trucking fleets manage the complex record-keeping required for International Fuel Tax Agreement (IFTA) audits. The platform automates the tracking of state-by-state mileage and fuel purchases.
Using GPS technology, the application logs travel routes and provides high-resolution state-line detection to ensure mileage is accurately attributed to each jurisdiction. Drivers can also input fuel purchase data and attach images of receipts directly through the mobile app.
The system generates exportable records in XLS, XLSX, and CSV formats, which are standard for tax auditors. This allows operators to produce detailed trip logs, fuel summaries, and vehicle breakdowns on demand, replacing the need for manual record reconstruction.
Regulatory compliance remains a significant administrative burden for independent truckers and small fleets. Because IFTA jurisdictions are mandated to audit a percentage of licensed accounts annually—often on a random basis—operators must maintain accurate documentation for up to four years.
This shift toward automated, GPS-based record keeping reflects a broader industry transition away from paper-based logs. By digitalizing compliance, operators reduce the risk of penalties and eliminate the time-intensive process of organizing physical receipts and handwritten mileage reports.
